How we work
What it's actually like to
work with us.
How a project runs, who you talk to, when you can reach us, how work is checked, and how
to leave if you want to. This is the process we actually run, not an ideal one.
On a tight deadline? Lead with the date.
Tell us when you need it before anything else. We confirm within [ 4 ] working hours whether we can hold that date, and if we can, production starts the same day. Small permit sets and tenant improvements are routinely turned in [ 2–5 ] business days. If we can’t hit it, we say so immediately rather than accepting and slipping.
On fast-track work
- Queries raised by phone, not email
- Daily issue instead of milestone issue
- Markup rounds compressed by agreement
- Same two-stage QA/QC, no exceptions
The process
How a project runs
These are the steps, not a calendar. The dates are fixed in your proposal, sized to your project and your
deadline.
You send
Backgrounds, scope and your target date
Mutual NDA first if you’d rather. No call needed to get a number.
Within 24 hrs
Lump-sum fee and a committed delivery date
Scope, assumptions, exclusions and included markup rounds, all in writing. Either we commit to your date or we tell you the earliest one we can hold.
Before we start
Where the drawings leave something open, we ask
Ceiling heights that aren’t shown, a service location that’s ambiguous, a fixture count that doesn’t reconcile. A short written list, answered by email or on a 20-minute call. Asking now is cheaper than assuming and redrawing.
Production
Engineering and drafting, to the agreed standards
Written status at each milestone: done, next, blocked. Revisions clouded and deltas numbered to your convention.
Before you see it
Two-stage internal QA/QC
Discipline lead, then senior engineer. You receive a checked package, not a first draft with our mistakes still in it.
Your review
You mark it up, we incorporate
Bluebeam markups or redlined PDFs, whichever you use. [ Two ] rounds included in the lump sum, with the count stated in your proposal so nobody is guessing.
Delivery
Native files and a flattened PDF set, on the committed date
Native DWG or RVT, a signed-ready PDF set named to your sheet convention, the calculation set, and a QA/QC sign-off sheet. Submittals and RFIs handled after issue if you want us to stay on it.
No documented standards? That's normal, and it's not a problem.
Plenty of firms under twenty people have never written their standards down. Nothing here depends on you having a
template.
You have standards
-
Send the template, title block and layer
standards. We work in them and hand back
native files.
You have past sets
-
Send one previous project and we'll match it —
layering, tagging, sheet organization and title
block.
You have neither
-
We use ours, built for U.S. permit sets. From then
on it's your standard with us, applied consistently
on every job.
From your second project on, it gets shorter
Standards are settled once. The same engineers are already on your account and already know how you like things
drawn.
- 01
You send drawings
- One email. No re-onboarding, no standards conversation.
- 02
Fee within 24 hours
-
Often faster, because we already know your
scope patterns.
- 03
Production starts same day
- Queries only where the drawings genuinely leave something open.
Who you'll deal with
You deal with engineers, not account managers
You’re put in direct contact with the mechanical, electrical and plumbing engineers working on your job — by email
and on calls. They know the model, the calculations and the reasoning behind every decision on it.
That means an answer comes from the person who made the call, not from a coordinator taking a message and
forwarding it. No relaying, no waiting a day to find out your question was misunderstood.
Direct, by discipline
Email and calls straight with the mechanical, electrical or plumbing engineer, depending on what you're asking about.
Answers, not relays
Whoever replies has the project open in front of them and made the decision you're asking about.
One person accountable
Direct access to engineers doesn't mean nobody's in charge. The principal signs off every engagement.
And I stay above all of it
Fees, scope, priorities and anything that needs a decision from the firm come to me — usually the same day. You never have to work out who to ask. Ask either of us and it lands in the right place.
Availability
We work to your clock, not ours
Our team is in India, which means one of these windows is our evening and the other is our early morning. We
staff both. Pick the one that suits your day and it becomes your standing window.
8:00 – 11:00 AM CT
Every business day. Catches you before the day fills up, and gives us your afternoon to act on whatever we discussed.
7:00 – 10:00 PM CT
If your day is wall-to-wall, take the call after it. Same engineers, same agenda, no difference in what gets done.
Outside both windows, when something's urgent
You get direct mobile and WhatsApp for your project engineer and for Hemin at kickoff. If a deadline moves or something breaks, you don't wait for a window — you call.
The rest of the time
Every email answered within one U.S. business day
Written status at each milestone: done, next, blocked
Files through your ACC or BIM 360, or ours
Markups in Bluebeam, returned as PDF and native
Work continues through your afternoon and our night
Times shown in Central — we track U.S. daylight saving so you don't have to
Quality
Two stages, before anything reaches you
This is not compressed on fast-track work. If the schedule can’t carry both stages, we quote a date that
can.
Stage 1 — Discipline lead
Model and drawing check against our standing checklist
Layer, family and naming compliance to the agreed standards
Sheet set completeness, tags, schedules and legends
Cross-sheet consistency and reference checks
Stage 2 — Senior engineer
Code review against the governing edition and AHJ amendments
Calculation verification and sizing sanity checks
Cross-discipline coordination and clash review
Constructability and access for maintenance
We flag what we find. You decide what to do with it.
If a duct route won't fit above the ceiling, a panel is undersized, or a fixture count fails IPC, you get a redline and a proposed fix rather than a drawing of the problem. Reviewing your input is part of the scope, not an extra — but the decision stays yours.
Commercial

Scope changes
Markups beyond the included rounds, or a change in scope, get a written adjustment before we continue. You approve the revised fee and date first.

Where your files live, and how you get them back
While we're working

You own the model, drawings, families and every file we touch
If you want to stop
You can end an engagement at any time, for any reason
Work in progress delivered in native format within [ 5 ] business days

When something goes wrong
Errors in our work
- Corrected at our cost and on priority, whenever they surface — your review, plan review comments, or the field. No argument about who pays.
A date at risk
- You hear it from us the moment we know, with a recovery plan — not on the delivery date. Late warning is the only unforgivable version of late.
Escalation and liability
- Your discipline engineer, then the senior reviewer, then Hemin directly. Liability capped at fees paid on the affected project, consequential damages waived.
Questions
Everything else principals ask
What happens when the architect reissues backgrounds?
We re-link and report the impact before doing the work. If the change affects sheets already complete, you get a written adjustment to fee and date for approval first. Minor background updates within the agreed scope are absorbed.
Do Indian public holidays affect our schedule?
Our holiday calendar is shared at kickoff and every committed date is planned around it. If a holiday falls inside your programme, you'll know before you sign, not the week it happens.
How many markup rounds are included?
[ Two ] on a lump-sum project, stated in the proposal. Beyond that we agree a written adjustment before continuing rather than invoicing you a surprise.
How many projects can you take at once?
Current capacity and lead time are confirmed in every proposal. If we're full, we say so rather than accepting your job and letting it slip.
We don't have a template. Does that matter?
No. We'll match a previous set of yours, or use our own standards. Either way you get consistent output, and it becomes your standard with us from then on.
Can we start with one small project?
That's how most firms start, and we'd recommend it. A single set or a discrete study tells you more than any reference call will.
Send us a set of drawings.
You’ll have a lump-sum proposal within 24 hours. No call required first, and a
mutual NDA is available before you send anything.
